Working with Job Site Negative Balances
There can be many reasons for balances on a Job Site to go negative. If you think they will, you can configure Quantify to allow Job Sites to incur negative balances when there are over-returns. You can also configure Quantify to adjust the Branch Office inventory when there are over-returns or leave Branch Office quantities intact.
Enabling Job Site Balances to go Negative
Before Quantify can allow Job Site balances to go negative, that feature must be enabled in the Global Options dialog.
To enable Job Site negative balances:
Click the Tools menu and select Global Options.
The Global Options dialog appears.
Click the Job Site Options tab.
Click the Allow balance to go negative (over returns) checkbox, to put a check in it.
Click OK
Resolving a Negative On-Rent Balance at a Job Site
Once a Job Site has recorded a negative balance, you can resolve it in just a few steps.
To resolve a negative on-rent balance at a Job Site:
Locate and click the Job Site in the Organization Tree and click the Products tab.
Click the Product with the negative balance, then click the Clear Negative Balances button ( ).
The Resolve Balance dialog appears.
Click the appropriate Branch Office radio button. Your options are:
-Do not adjust branch office balance - Select this option if Branch Office quantities are correct. This option does not affect the Branch Office inventory.
-Subtract from branch office balance - Select this option if the over-return is due to a missing shipment, etc. This option adjusts the Branch Office inventory.
Enter the new balance for the site. This must less than or equal to 0.
If you wish to only partially resolve the balance, you can enter a minus figure.
Click in the Comment text field and enter the reason for the adjustment.
Click OK.
The adjustment will be completed.
Note: You can also create a Shipment from the Branch office to the Job Site. This will launch a New Direct Ship. Please see the Shipment section for more information.
